This policy explains what information Rentdura collects, how it is used, where it is held, and the choices you have. It applies to rentdura.ca and to the Rentdura application at app.rentdura.ca.

1Information we collect
Account information you give us directly: name, email address and password. Passwords are stored by our authentication provider, Supabase, and are never visible to us in readable form.
Portfolio data you enter: property and unit details, tenancies, vendors, transactions, mortgage payments, maintenance records, inspections, notices and documents you upload.
Rental application information submitted by prospective tenants through an application link a landlord or property manager has shared. Depending on the form, this can include employment and income details, references, banking information and a Social Insurance Number. See section 11.
Banking and billing information: bank account details you add for rent collection and owner payouts, and subscription payments processed by Stripe. We do not store full payment card numbers.
Information collected automatically: if you accept analytics cookies, pages viewed, approximate location derived from IP address, and general device and browser information. See section 6.
2How we use your information
To provide and maintain the service, process payments, send transactional email through our email provider Resend (account confirmations, password resets, rent reminders, maintenance notices) and respond to support requests.
We do not sell your personal information, and we do not use the property, tenant or financial data you enter to train machine learning models.
3Marketing email and consent (CASL)
We send marketing or promotional email only if you have opted in, such as by checking the consent box at sign-up. In line with Canada’s Anti-Spam Legislation, we record the date and time consent was given, and every marketing email carries a working unsubscribe link. Withdrawing consent does not affect transactional email needed to run your account.
4reCAPTCHA
Sign-up and contact forms in the application are protected by Google reCAPTCHA to reduce spam and abuse. reCAPTCHA collects device and software information and sends it to Google. Its use is subject to Google’s Privacy Policy and Terms of Service.
5Cookies, analytics and advertising
The application uses essential cookies to keep you signed in. These are not optional, because the app cannot work without them. The marketing site sets no essential cookies at all.
We use Google Analytics to understand which pages help visitors decide. Analytics and advertising storage are switched off by default: nothing is stored until you choose Accept on the cookie banner. If you choose “Necessary only”, no analytics or advertising cookie is set. You can change your choice at any time through “Cookie preferences” in the footer.
We use Google Ads to advertise Rentdura, and measure which advertisements lead to sign-ups. Advertising cookies are only set after you accept. If you arrive from an ad or a campaign link and then send our contact form, the form also records which ad or campaign brought you (the campaign tags and Google click identifier in the link, the page you landed on and the name of the referring website). This is held in your browser tab only until the tab is closed, and is saved with your inquiry only if you send the form. Google’s handling of this information is governed by its own Privacy Policy.
6Where your data is stored
Rentdura is operated from Ontario, Canada, but your information is stored and processed in the United States. Our database and authentication provider, Supabase, hosts this project in the US West (Oregon) region. Application hosting is provided by Vercel, payments by Stripe, email by Resend and analytics by Google — each of which may process information in the United States or other countries.
While your information is held outside Canada it is subject to the laws of that country, and may be accessible to courts, law enforcement and national security authorities there.
7How long we keep it
We keep your account and portfolio data for as long as your account is open. After an account is closed we retain it for [RETENTION PERIOD — e.g. 24 months], after which it is deleted or anonymised, except where we must keep records longer to meet tax, accounting or other legal obligations.
Rental applications are kept for [RETENTION PERIOD] after a decision is made, unless the landlord or property manager deletes them sooner.
8How we keep it safe
Access to your data is enforced at the database level, so a landlord, property manager, owner or tenant sees only the records their role permits. Data is encrypted in transit. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
If a breach creates a real risk of significant harm to you, we will notify you and the Office of the Privacy Commissioner of Canada as required under PIPEDA.
9Your rights
You can access, correct, export or delete your account data at any time from within the app, or by emailing info@rentdura.ca. You can withdraw marketing consent at any time through the unsubscribe link in any marketing email.
If you are not satisfied with how we have handled a privacy question, you may complain to the Office of the Privacy Commissioner of Canada.
10If you are a tenant or an applicant
Where your landlord or their property manager uses Rentdura to hold your tenancy records or your rental application, they decide what is collected and why. Rentdura holds that information on their behalf.
Requests to see, correct or delete that information are best directed to your landlord or property manager first. You can also contact us at info@rentdura.ca and we will help where we are able.
11Children
Rentdura is intended for adults managing or renting residential property. We do not knowingly collect personal information from anyone under 18.
12Real estate consultancy services
If you book a consultation with Fayah EL Rayyes, information you share for that purpose is also handled under the record-keeping obligations of Right at Home Realty, a RECO-registered brokerage, in addition to this policy.
13Changes to this policy
We may update this policy from time to time. Material changes will be reflected in the “Last updated” date above, and we will update this policy before introducing any new use of your information that it does not already describe.
